How to Ship Your Coins to Coin Photography Studio

A Simple Guide to Get Your Coins to Us Safely and Efficiently

Start with the Right Holders

Before you pack anything, make sure your coins are in 2.5" x 2.5" mylar flips (non-PVC only).**

Put the coin in the front pocket of the flip, with the open edges facing away from the edge of the flip to keep everything secure. Add a small sticker on the flip with a unique identification number. I will name the images to match. Easy for you, easy for us.

To ensure accurate file management and smooth processing, each coin must be clearly identified with a unique name or ID number (10 characters or fewer). This ID can be added using a small sticker placed between the flaps of the Mylar holder or by inserting an identification card into the unused side of the flip.

Coins received without clear identification may be delayed in processing or, in some cases, cannot be accepted until properly labeled. This step helps us keep your images organized and guarantees each file is correctly matched to your inventory or records.

Packing It Up Right

  • Wrap your flips in bubble wrap or foam. Coins hate bouncing around.

  • Fill the box so nothing shifts in transit.

  • Tape everything well — seal all the seams. (If you’re using Registered Mail, use paper tape as required.)

And that’s it — your coins are protected and ready to go.

How to Ship It

For Canadian and U.S. Clients:

  • You can use Canada Post Xpresspost, USPS Registered or Express Mail, or FedEx.

  • Please avoid UPS and DHL unless we’ve talked about it first.

  • Always insure your package independently of your choice of courier, and hang on to the tracking number. Contact us for more details

For International Clients:

  • You're welcome to ship from anywhere. Just know you'll be responsible for any duties, taxes, or customs fees both ways.

  • For high-value submissions (over $50,000 CAD/USD), contact us before sending so we can recommend a secure shipping option.

What About Getting Your Coins Back?

We ship returns via FedEx or Canada Post, and we insure your package:

  • Up to $10,000 CAD for domestic shipments

  • Up to $10,000 CAD for international ones

If you’d like us to return your order using your FedEx or UPS account, just let us know ahead of time. Keep in mind that if we use your account, you’re responsible for the insurance.

Going with a premium courier like Malca-Amit or Brink’s? We can do that too — just reach out before submitting.

GPS Trackers & Smart Tags

Want to include a GPS tracker? You're welcome to — but here’s how that works:

  • If it’s your own tracker, it will be returned in the same box as your coins.

  • We’ll reach out when your package arrives to ask what you’d like us to do with it before project completion. Return shipping for the tracker is billed separately.

  • If we don’t hear from you within 24 hours of unboxing, we’ll send it back with the coins.

Turnaround Time

Just a heads-up — our estimated turnaround times don’t include shipping time.
So if you're in a hurry, keep in mind:

  • FedEx or UPS can take 1–3 business days (domestic), or 3–5 (international)

  • Canada Post or USPS may take 5–14 business days

  • Customs can cause delays for international returns

A Few More Things to Know

  • We’ll email you tracking details once your return shipment is on its way.

  • We don’t reroute packages after they’ve been shipped — double-check your return address before you send your order.

  • Submissions over $100,000 (CAD or USD) need advance coordination. Contact us first and we’ll help you sort it out.

  • Packages that arrive poorly sealed may be rejected and returned unopened — so tape everything securely!

  • We do not accept stamps, prepaid boxes, or packaging for return shipping.

NOTES

** We do not accept coins in stapled holders, self-adhesive holders, Quadram holders, or any form of hard encapsulation unless they are certified (e.g., PCGS, NGC). Our photography process is carefully timed and priced by image, not by preparation. Removing coins from unsuitable holders and re-housing them is time-consuming and falls outside the scope of standard pricing. If coins must be sent in alternate packaging, we can accommodate this on request—however, these items will be subject to an additional handling premium.
